Our client is the world’s largest international press distribution group. Currently, they have an opening for an Executive Assistant in their New York City Head Office. Reporting directly to the EVP Press Promotions, your role, in this retail environment, is to be responsible for all the administrative functions related to the promotional programs and provide administrative and organizational support to the activities of the office.

Your responsibilities include but are not limited to coordinate and supervise all activities required to implement and monitor press promotions in North America, more specifically:

•Follow up on supply and distribution of promotional display fixtures.
•Follow up on distribution of promotional titles.
•Billing and collection for client base.
•Internal financial reporting (i.e., budgets, quarterly reports).
•Coordination with Operations and Store Planning departments.

Other responsibilities include, but are not limited to:

•Implementation of in-store promotional programs – as directed by the EVP Press Promotions.
•Coordinate with outside computer consultants to maintain, enhance and improve the “in house” system used for promotional purposes.
•Management of special projects within the department.
•Training and supervision of other members of the Press Promotion department.
•Communication with assigned clients related to new and existing promotions.
•Liaise with U.S. and Canadian District Managers.
•Oversee department files including address, project and confidential files.
•Type and distribute memos, and other correspondence including vendor letters.
•Assist in the preparation of marketing packages, letters, and presentations.
•Coordinate department calendars, and schedules.
•Responsible for the preparation and the maintenance of client contracts.
•Communicate with corporate executives and staff at all levels, field management, external vendors, Service Providers, etc…
•Other administrative and related duties as necessary and appropriate.


•College degree or diploma preferably in Business, Marketing, Sales or related disciplines
•At least 5 years of experience in a Press Promotions role.
•Must be proficient with MS office (Word, Excel and Power Point)
•Self-motivated and self-directed team player to be able to meet strict deadlines.
•Must be a self-starter and able to work with minimal supervision in a busy environment and possess the ability to focus on multiple tasks simultaneously.
•Must exhibit strong communication skills (both oral and written) and exceptional organizational skills.
